Office moving plan
Provide a brief simple plan of action for your office move. It should consider priorities of exactly what needs to be moved and in what order. Be sure to consider which floors, departments or sections you want moved first or last. Remember to make note of which items need to be unloaded first.
Establish a command structure
Decide who will be in charge of specific floors or departments. These people should be in charge of communicating all preparatory procedures to your staff. They will also be instrumental in communicating with the movers on the day of the move.
Parking
Please reserve parking for the moving trucks in the proper spaces on both the loading and unloading locations.
Boxes
All boxes must have a flat cover or be sealed with tape, so that they close flat for stacking purposes. Do not over pack boxes. As a general rule, the heavier the item, the smaller the box.
Computer and desk equipment
Have your IT department or qualified personnel disconnect all computers. Make sure hard drives are backed up before the move and that everything is disconnected. If appropriate, check with your computer service or leasing agents to inquire if they are required to move and or prepare the equipment as part of your service or warranty contracts.
Personal desk items
All desk contents must be emptied. All loose materials should be placed in boxes, and those boxes must be marked with the employee’s name or location number.
Copy machines, printers and plotters
Most models need to be moved by the leasing agent or service contract provider. If these services are not performed, it may void the equipment’s service contract or warranty. If Eagle Movers moves your copiers or printers, the toner cartridges must be removed.
